About The Role
We are seeking a highly professional, organized, and proactive Office Assistant to support the Chairman and CEO in managing daily administrative and operational activities.
This role requires an individual with exceptional communication skills, excellent organizational abilities, and the highest level of professionalism, discretion, and attention to detail. The successful candidate will work closely with senior leadership and will play a key role in ensuring the smooth day-to-day operation of the Executive Office.
Key Responsibilities
Executive Support: Provide day-to-day administrative and secretarial support to the Chairman and CEO.
Calendar Management: Manage busy calendars, appointments, meetings, and executive schedules.
Meeting Coordination: Organize internal and external meetings, including preparing agendas and meeting materials.
Correspondence & Documentation: Draft professional emails, letters, reports, and business correspondence in fluent English.
Reporting: Prepare presentations, spreadsheets, reports, and executive documents.
Data Governance: Maintain accurate filing systems and highly confidential records.
Stakeholder Liaison: Coordinate communication between senior management, and external stakeholders.
Gatekeeping: Handle incoming calls, emails, and correspondence professionally; welcome visitors and represent the Executive Office with distinction.
Task Tracking: Track deadlines, follow up on pending tasks, and ensure timely completion of action items.
Key Requirements
Education: Bachelor's degree in business administration, Management, or a related field is preferred.
Experience: Minimum 3 years of experience in an administrative, secretarial, or executive office support role.
Language Skills: Fluent English (spoken and written) is mandatory with the independent capability to draft formal business correspondence.
Tech-Savviness: Advanced proficiency in Microsoft Office, particularly:
Microsoft Word
Microsoft Excel
Microsoft PowerPoint
Microsoft Outlook
